To work with the Lead Administrator with the overflow of admin duties to be completed within the timescales requested.
To produce documents in the style and layout requested by the originator.
To prepare all documents for binding and collating.
To carry out any other reasonable management requests (photocopying/scanning and general office duties).
Salesforce
- Finding existing contacts
- Adding new contacts
- Adding new jobs
- Amending job allocations
- Uploading Terms of Engagements / Heads of Terms
- Processing Conflict of Interest Checks
- Adding new companies
- Drafting and raising invoices
- Tracking Fee Forecast report.
- Syncing properties to Colliers.com or Rightmove
Expenses – Selenity
- Upload and submit teams’ expenses.
- Upload and submit company card expenses.
- Compleat – Approve/reject invoices.
Diary Management
- Organising meetings
- Inputting teams’ travel/accommodation arrangements
- Syncing weekly client meetings to Salesforce
Team Work
- To work in a flexible way and as part of a team
Ad Hoc
- To be aware of and comply with company and statutory requirements regarding health and safety, fire and hygiene
Skills/Knowledge/Experience Required
- Must be able to communicate at all levels.
- Good organisational and time management skills.
- Must possess an eye for detail.
- Able to work under pressure and to tight deadlines.
- Must be a team player who is able to carry out instructions.
- Must be proactive and possess a flexible attitude to the workload.
- Intermediate knowledge of Microsoft Office products.
- Accurate typist and has minimum 40 wpm.
