Based in our Uxbridge office, you will be responsible for delivering support to the Head of Office and offer an Estate support role for property portfolio for a large investment fund. You will be tasked with providing and efficient and effective administration service to the department, to include the collecting data and preparing weekly/monthly/quarterly reports.
Main responsibilities
Administration Support
- The large part of the role is co-ordination of monthly and quarterly client meeting reports, reports include budgets and reconciliations, alterations and alienations, inspections, vacant units etc.
- Ensuring that property files are up-to-date
- Drafting lease form for our accounts team
- Regular liaison with tenants and clients
- Assisting with licence to alter and assignments and other property matters
- Preparing expenses claims for the Head of Department
- To deal with telephone queries from internal/external clients
- Maintain a digital filing system
- Prepare and rise invoices as requested.
- Liaise with accounts team over forecasting and other financial requirement.
Daily Management
- To arrange meeting and update diaries
- To ensure that all meeting rooms are booked for meetings and events
- To carry out any other reasonable management requests (ie. ordering stationary, filing, and general office duties)
- To be aware of an comply with company and statutory requirements regarding health and safety, fire and hygiene.
- Excellent communication skills
- Good organisational and time management skills
- Must possess an eye for detail
- Must be a team player who is able to carry out instructions
- Able to work under pressure and to tight deadlines
- Must be able to forward plan and work on own initiative
- Must be proactive and possess a flexible attitude to the workload
- Intermediate knowledge of Microsoft Office products
- Good academic background
