Job Description

To meet this challenge, we developed Spaceworks, a first-of-its-kind AI powered digital workplace strategy platform that helps organizations measure and improve their workplace performance across office portfolios. Spaceworks integrates multiple data sources to identify opportunities for optimizing existing workplaces, defining workplace requirements for new projects, and applying AI-powered space planning.

Developed in 2024 with a select number of customers, Spaceworks is set for a global launch in 2025.

About the role
We are expanding our team and looking for a Data Analyst to support the growth of Spaceworks. This role is based in Warsaw, Poland, but operates in a highly international environment, working with clients across the globe.

Your responsibilities
As a Data Analyst at Spaceworks, you will play a key role in collecting, processing, analyzing, and visualizing data to drive workplace insights. Your work will directly impact how organizations optimize their offices and make data-driven real estate decisions, while actively supporting and managing clients through this process.

This includes:

Data collection, integration, management and analysis:

  • Collect, process, analyze and continually update workplace performance data, including:
    • Occupancy: Utilization of offices though sensor data, access control, WiFi tracking.
    • Space: Workplace setup, desk density, alternative work settings.
    • Experience: Employee sentiment and workplace feedback, typically through surveys.
  • Communicate findings clearly by analyzing data trends and providing actionable insights and recommendations for clients.
  • Leverage the collected data to develop future workplace strategies (e.g. how much office space is required where and when, how should it be designed, etc.)
  • Support the development of new features within Spaceworks.
  • Identify opportunities for automation and scalability in data handling.

Leading client data onboarding and stakeholder management:

  • Serve as the primary point of contact for clients during data onboarding and ongoing data integration and updating. Manage multiple clients simultaneously, ensuring deadlines are met.
  • Collaborate with clients to define relevant data sets for analysis.
  • Develop and share data templates to standardize data submissions, including where relevant developing data pipelines and automating data ingestion from multiple sources.
  • Manage data uploads, integrations, and transformation processes. Guide clients through the data submission process, ensuring accuracy and completeness within clear timeframes.
  • Liaise with internal teams to align client needs with platform capabilities.
  • Identify data gaps and collaborate with clients to enhance data quality. Identify and address potential roadblocks, ensuring a smooth onboarding experience.
  • Track progress, follow up on data tasks, and provide regular status updates to clients and internal teams.
     

What we’re looking for?

  • Ideally, a minimum of 1–3 years of experience in data analysis, business intelligence, or similar roles.
  • Strong data analytics skills, including data visualization and dashboarding.
  • Experience with data processing, cleaning, integration, and reporting.
  • Working proficiency in English, both written and spoken, as the primary working language.
  • Experience with real estate, workplace strategy or occupancy data is a plus, but not required.
  • Excellent problem-solving and multitasking skills, with the ability to work in an international, fast-paced environment.
  • Strong ability to manage client relationships, set expectations, and communicate clearly.
