A strategic and hands‑on FM leader responsible for delivering high‑quality facilities management services across a portfolio of commercial, retail and mixed‑use assets within the Colliers London IPM division. Accountable for full operational performance, statutory compliance, customer experience, and service charge oversight across approximately 15–20 assets.
Key Responsibilities
Facilities Management & Contractor Oversight
- Procure, manage, and optimise FM service contracts in line with Colliers’ Procurement Policy, ensuring value for money and exceptional service delivery.
- Lead day‑to‑day operational management of sites, ensuring buildings are safe, compliant, well‑maintained, and aligned with Colliers’ standards.
- Conduct regular site inspections, review asset conditions, and oversee PPM and reactive works via online systems (e.g., RiskWise/Vantify equivalents).
- Maintain accurate documentation including RAMS, certifications, statutory logs, water hygiene data, fire compliance and risk assessments.
Health & Safety & Statutory Compliance
- Ensure full statutory compliance across all assets using digital compliance platforms.
- Review and action recommendations from H&S, Fire, Water and ESG audits in a timely and evidenced manner.
- Lead RIDDOR reporting, maintain site H&S files, and collaborate with specialist consultants where required.
Budgeting, Service Charges & Financial Control
- Prepare annual service charge budgets, working closely with Surveyors and Client Directors.
- Monitor spend through quarterly variance reports, ensuring accurate coding, forecasting, and financial governance.
- Approve POs and invoices and ensure financial accuracy across the portfolio’s operational activity.
Client, Tenant & Stakeholder Engagement
- Act as the primary operational contact for clients, landlords, tenants, and internal Colliers stakeholders.
- Chair tenant meetings, issue welcome packs, and support initiatives aimed at improving customer satisfaction.
- Work collaboratively with Customer Experience, ESG, Procurement and Technology teams to enhance asset performance and occupier wellbeing.
ESG & Technology Integration
- Develop and implement ESG improvement initiatives aligned to Colliers’ Green Standard, focusing on carbon reduction, energy optimisation and sustainable operations.
- Integrate smart technologies and data‑led solutions to enhance building performance and reduce service charge costs.
- Track and report ESG and technology KPIs, ensuring continuous improvement.
Culture & Business Development
- Represent Colliers’ values through strong collaboration, professionalism and integrity.
- Support business development opportunities by contributing operational insight and client engagement.
- Actively promote continuous improvement across FM delivery, driving innovation and operational excellence.
- IOSH Managing Safely (essential)
- NEBOSH General Certificate or equivalent H&S qualification (desirable)
- IWFM Level 4 or Level 5 in Facilities Management (desirable)
- Proven experience managing multi‑site commercial properties and service charge budgets
- Strong understanding of statutory compliance including H&S, Fire, Water Hygiene, Asbestos and Environmental standards
- Technical knowledge of PPM, reactive maintenance, building services and contractor management
- Experience using FM/H&S compliance platforms (e.g., RiskWise, Vantify, CAFM systems)
- Excellent communication and stakeholder‑management skills
- Demonstrated ability to prepare and manage service charge budgets and financial reports
- Strong organisational and time‑management abilities
- Experience chairing occupier/tenant meetings and enhancing customer experience
- Legionella Responsible Person, Fire Safety training or First Aid at Work (advantageous)
