Job Description

We are seeking a Project Administrator to join our Urban Planning team in Melbourne. This role will support our national operations and projects by connecting technical consulting, finance, and business operations to drive efficiency, consistency, and compliance across our project delivery teams.

 

Working closely with the National Operations Manager and Senior Executive, Operations, this position plays a key role in improving performance, ensuring accurate project management practices, and supporting broader operational initiatives across the Urban Planning business.

 

Specifically, you will:

  • Support the rollout and adoption of new programs and processes across the Urban Planning service line.
  • Assist with project coordination, ensuring accurate setup, compliance, time recording, and reporting within our systems.
  • Provide day-to-day administrative support to project teams, helping streamline communication between technical teams, finance, and operations.
  • Maintain high-quality system data, documentation, and reporting to support business insights and decision-making.
  • Assist with onboarding, training, and continual improvement initiatives focused on operational and commercial excellence.
  • Provide general office and event coordination support, ensuring smooth day-to-day operations.

Qualifications

 

  • Relevant experience in operations or business administration within a professional services environment preferred.
  • Strong attention to detail with excellent organisational and time management skills.
  • Proficient in Microsoft Excel and data analysis tools; experience with project or PSA systems (e.g., Synergy) highly regarded but not essential.
  • Ability to manage competing priorities in a fast-paced environment.
  • Effective communicator who can build strong relationships across teams and regions.
  • A proactive, collaborative mindset with a genuine interest in process improvement and operational excellence.
