Provide high-level executive support to the Chief Growth & Transformation Officer (CGTO), Chief Financial Officer (CFO) and HR Director. This role is pivotal in enabling the effective operation of three senior executives through proactive diary and inbox management, coordinating travel and events, supporting meetings, and acting as a key liaison point across internal and external stakeholders.
Main Responsibilities:
Diary & Meeting Management:
• Proactively manage complex, frequently changing diaries for the CGTO, CFO and HR Director.
• Organise internal and external meetings, conference calls and events including logistics, catering, and technology support.
• Anticipate conflicts and resolve scheduling challenges.
Inbox & Correspondence Management:
• Monitor and prioritise incoming emails, flag urgent matters and draft responses where appropriate.
• Prepare briefing materials and ensure executives are well-prepared for all engagements.
Travel & Expenses Support:
• Arrange UK and international travel, including visas, itineraries, accommodation, and transfers.
• Process and reconcile expenses in a timely manner.
Meeting & Document Support:
• Prepare agendas, papers and presentations for key meetings.
• Take minutes and track actions from senior leadership and board-level meetings.
• Maintain confidential files and ensure follow-up actions are completed.
Stakeholder & Communications Liaison:
• Act as the first point of contact for internal and external stakeholders on behalf of the executives.
• Build strong relationships with senior colleagues, clients, and partners.
Project Support:
• Assist with coordination of cross-departmental projects and initiatives led by the CGTO, CFO and
HR Director.
• Support with reporting and data collation for strategic and operational reviews.
Office & Administration Support:
• Ensure all documents are produced to a high standard and within deadlines.
• Support the onboarding of new senior hires within the relevant teams.
• Maintain discretion and confidentiality at all times.
Skills:
• Exceptional organisational and time-management skills, with the ability to manage multiple priorities.
• Strong written and verbal communication skills.
• High level of discretion and professionalism in handling confidential information.
• Excellent stakeholder engagement and relationship-building skills.
• Proficient in Microsoft Office Suite and virtual meeting platforms (Teams, Zoom).
• Ability to work autonomously and anticipate needs.
• Significant experience supporting senior executives at Board or C-suite level.
• Experience managing multiple diaries and stakeholders simultaneously.
• Proven ability to take minutes and manage follow-up actions.
• Experience arranging complex travel and managing expenses.
• Exposure to working in a professional services or fast-paced corporate environment desirable.
